School event photo sharing, with safeguarding built in

Mosaikin is school event photo sharing in one gallery the school controls. Staff and parents scan a QR code and upload from the browser, with no app and no account. Every photo is checked before anyone sees it, location data is stripped, the gallery can be private, and anyone can report a photo without signing in.

Built in the UK, for UK celebrations. Run under UK law, with safeguarding built in as standard: every photo is checked before it is shown, and we report what the law says we must. You keep the lot, and share it as and when you like in a digital guestbook and album.

Safeguarding at a glance

  • Every photo is checked before anyone sees it.
  • The gallery can be private to the school community.
  • Location data is stripped from every photo.
  • Anyone can report a photo without an account.

Who can take part in a school event?

Proms, leavers’ events, sports days, summer fairs and club presentations: the event is created by a member of staff or a parent volunteer, who becomes its host. The host decides who can open the gallery and who helps moderate. For a prom, school prom photos and GDPR sets out what the guidance says.

Moderation is shared, not left to one person. The host invites colleagues and trusted volunteers as moderators, each with their own sign-in, so a member of staff and a parent volunteer can both look after the queue on the day: 2 on Plus, 5 on Premium. Only the host changes the event’s settings. See How do I add a moderator?

Contributors must be 13 or over

Mosaikin is not directed at children. Anyone uploading must be at least 13, and under-18s should have a parent or guardian’s agreement. For younger year groups, staff and parents take the photos. See the Guest Terms and the Privacy Notice, and for parents, My child is at an event that uses Mosaikin

How is safeguarding built into the product?

In the product rather than the policy: each safeguard below is something the software does on every photo, not a rule someone has to remember.

  • Checked before it can appear. Every photo and message passes a safety check. Anything the check is unsure about is held for a person, and if a check cannot run the photo stays held.
  • Private galleries. A private gallery opens only for the host, their moderators and people who have joined with the event’s access code. The link on its own shows nothing, and the refusal happens on the server on every request.
  • Location data stripped from every photo before a servable copy exists.
  • Approve everything first with Require approval, so nothing appears until a member of staff publishes it.
  • Anyone can report. Every photo carries a Report link that works without an account, including for a parent whose child appears in a photo.
  • No facial recognition, no biometric profiles, no advertising and no selling of personal data.

Child sexual abuse material is blocked and quarantined, never shown, and reported to the National Crime Agency as UK law requires. See Safety and child protection, and Is Mosaikin safe? for the whole account in one page.

What record is kept, and how is a photo taken down?

Administrative and safety actions are written to a tamper-evident, append-only audit log. Deleting a photo removes the stored image files at the same time, with no bin and no undo, so a take-down request is a take-down. See Security.

Guests are not asked for an email address and are not given an account, and the Privacy Notice sets out what is kept and for how long.

If the alternative is a parents’ WhatsApp group, a WhatsApp group or Mosaikin sets out where each one is the better tool.

Questions people ask

Can the PTA run it for the summer fair?

Yes. A parent volunteer or a member of staff creates the event and becomes its host, deciding who can open the gallery and who helps moderate. The prices on this page show which photo allowance a whole-school fair needs.

Does it suit prom photos and leavers’ photos?

Yes. Pupils aged 13 or over can add their own, under-18s with a parent or guardian’s agreement, and with Require approval switched on a member of staff publishes each photo before anyone sees it.

Can parents see the sports day photos?

Yes, if the school gives them the event’s access code. A private gallery opens only for the host, their moderators and people who have joined with that code; the link on its own shows nothing.

Can pupils upload photos?

Pupils aged 13 or over can, and under-18s should have a parent or guardian’s agreement. For younger year groups, staff and parents take the photos.

Can we stop photos appearing until a member of staff has checked them?

Yes. Switch on Require approval and every photo waits in the moderation queue until someone publishes it. The safety check runs either way.

Can the gallery be kept private to the school community?

Yes. A private gallery opens only for the host, the moderators they invite and people who have joined with the event’s access code.

What happens if a parent asks for a photo to be removed?

The host or a moderator deletes it, which removes the stored files for good. A parent can also use the Report link on the photo without an account.

Do you use facial recognition?

No. Mosaikin uses no facial recognition and builds no biometric profiles.
